The Executive Assistant will report to the CEO APAC and SVP APAC will be their trusted partner and the gatekeeper for all things administrative.

Measures of success –
In three months:
- Become familiar with the office environment and team in Singapore
- Understood the process including timelines and ways of conducting day to day duties
In six months:
- Become familiar with the key partners/counterparts for support within Xaxis & Group M in the region
- Carry out responsibilities independently
- Proactively take initiative to broaden your role and responsibility
Responsibilities of the role:
- Travel organisation to include flights, hotels and visa application & ensuring all necessary approvals are in place for travel arrangements.
- Calendar / email management including scheduling meetings, room bookings, conference calls, video calls and taking minutes when necessary.
- Organize conferences, client meetings & training to include sourcing venues, negotiations, budget approvals, travel logistics and payment liaison with finance. If necessary to travel to the actual site to make sure smooth running of the event.
- Assist with ad-hoc projects (collate reports for the region: New business, office contacts, T&E spend etc)
- Preparing expense claims for submission and follow up
- Medical claim submission and follow up
What you will need:
- At least 7 years of experience supporting senior management in a multi-national corporation environment.
- Initiative; constantly thinking ahead; demonstrating a hands-on approach to all tasks
- Being highly organized and efficient to manage a variety of tasks
- Demonstrates strong people and team skills
- A good sense of humour with a work hard, play hard attitude
